Schuilbrig — Privacy Policy

This policy covers the two Schuilbrig mobile apps. Our company privacy policy covers Akarmis as a whole; where the two differ on these apps, this page governs.

Schuilbrig holds records about children. We treat that as the strictest duty we have, not the loosest.

1. Who holds your data

Your school is the owner and controller of its records. Akarmis is a processor: we store and move that data on the school's instructions, and we do not decide what to do with it. If you want a record corrected or removed, the school decides — and we will act on the school's instruction.

We do not sell your data. We do not share it with advertisers. We do not use it for marketing, and we do not use it to train artificial-intelligence systems. There is no advertising in either app and no third-party analytics or tracking SDK.

2. What each app holds

Schuilbrig Parent

• You: your name, phone number, and optionally an email address and photograph, plus your relationship to the child.
• Your child, as recorded by the school: name, class, admission number, date of birth, attendance, assessment results, fee account and payments, and any medical or emergency notes the school keeps.
• Your messages with the school.

Schuilbrig Staff

• You: your name, phone number, role, and employment details the school records, which may include your date of birth and salary.
• Your work: registers you mark, assessments you enter, lesson notes you write, messages you send, and your own clock-in and clock-out times.
• Pupil records for the classes your role allows you to see.

3. Permissions, and what we actually do with them

Permission	What it is used for
Location	Read only at the single moment you scan a school gate code (Parent) or clock in or out (Staff). There is no background location and no tracking between those moments. Parents — gate scans: we record only whether you were within the school's boundary, a yes or no. Your position is not stored. Staff — clock in and out: we record the position your phone reported at that moment, and your school's leadership can see it. This is how a school verifies that attendance was taken on its premises rather than from home. It is recorded only at the instant you clock in or out — never between, and never while the app is closed. If you would rather not share it, you can decline the permission; your school decides what that means for how you record attendance.
Camera	Reading a QR code you point it at — a gate code, or a server code during setup. Nothing is recorded or uploaded.
Photo library	Opens only when you choose to attach something yourself, such as a payment receipt. The app receives the item you pick and nothing else in your library.
Face ID	Unlocking the app on your own device, instead of typing a code. The biometric never leaves your phone and is never sent to us.
Notifications	School announcements, fee reminders and messages. You can turn these off in the app.

4. Signing in

Sign-in is by phone number and a one-time code sent by SMS. We do not store a password for mobile users. Codes are stored hashed, expire shortly after issue, work once, and are attempt-capped. Your number is registered by your school, so only someone the school knows can reach a child's records.

5. Payments

Money goes directly from you to your school — to the school's own Mobile Money or bank account. Akarmis never holds, routes or takes custody of your money, and we never collect card or wallet credentials. What Schuilbrig records is the accounting: what was billed, what was paid, and the receipt.

6. Who else sees it

Only the parties needed to run the service: our hosting provider, which stores the encrypted database; and our SMS provider, which receives your phone number and the sign-in code in order to deliver the text. Neither is permitted to use your data for anything else. We do not send your data anywhere else.

7. Deleting your account

You can delete your account from inside either app: Settings → Delete my account.

Here is exactly what that does, stated plainly because it matters:

• Your access ends immediately. You are signed out on every device and cannot sign back in.
• Your identity is erased after 14 days. Your name and phone number are removed from our systems. The delay exists so your school can see that you have left, and so an account deleted by mistake can be recovered.
• Your child's school records stay with the school. Attendance, results, fee history and enrolment are the school's records, and Ghanaian schools are required to keep them. A parent leaving does not erase a school's books, and we will not let one account delete another person's records. The same applies to work a member of staff entered: registers marked and grades recorded belong to the school.

If you want a child's records themselves removed, that is a request to your school, which owns them. We will act on the school's instruction.

8. How long we keep things

School records are kept for as long as the school requires them. Sign-in codes are discarded once used or expired. Audit records of who accessed what are kept for security purposes. When a school leaves Schuilbrig it may take its data with it and may require deletion of what we hold.

9. Ghanaian law

We operate under the Data Protection Act, 2012 (Act 843) of Ghana. Data is stored encrypted, transmitted encrypted, and backed up nightly in encrypted form. Access is role-based: a parent sees their own children; a teacher sees their classes; a bursar sees fees. Every role sees only what it is allowed to.

10. Your rights

You may ask what personal data we hold about you, ask us to correct it, or ask us to delete it — subject to records your school is required by law to keep. Write to us and we will respond within a working week.
